Booking a coffee cart sounds simple until you’re staring at a floor plan trying to figure out where it goes, how many drinks you actually need, and whether your venue even allows an open flame near the espresso machine. Here’s what to think through before your event, so the day of goes smooth and the coffee line never becomes the bottleneck.

Start With Guest Count, Not Guesses

The single biggest factor in planning a coffee bar is how many people you’re serving and over what window of time. A wedding reception with 150 guests sipping drinks over four hours moves very differently than a corporate lunch break where 300 employees hit the cart in a 20-minute window.

A good rule of thumb: plan for 60 to 70 percent of your total guest count to order at least one drink. If it’s a multi-hour event, expect repeat orders. If it’s a tight window like a conference break, staff up so the line moves fast. Tell us your guest count and your timeline, and we’ll help you land on the right cart size and crew.

Think About Timing, Not Just Headcount

When coffee gets served matters as much as how much. A few common patterns:

  • Morning events. Coffee is the whole point. Expect near 100 percent participation and plan for a steady flow rather than one big rush.

  • Afternoon weddings and receptions. Coffee tends to spike after the meal and during dessert. Pair it with a late-night snack table if your reception runs long.

  • Corporate breaks. These are short and sharp. Everyone wants a drink in a 15 to 20-minute window, so speed matters more than menu size.

  • Evening events. Coffee becomes a specialty moment rather than a necessity. This is where signature drinks do the most work, since guests are ordering for the experience, not the caffeine.

Give Us Space and Power

Most setups need a footprint of roughly 6 by 6 feet, though we can work with smaller spaces if needed. We’ll also need access to standard power.

Build a Menu That Matches the Moment

A tight, well-chosen menu beats an overwhelming one every time. For most events, three to five drink options covers it: a classic latte, a seasonal specialty, an iced option, and something non-caffeinated for guests who want the experience without the espresso. If you want a signature drink built around your wedding colors, your company brand, or your event theme, we can build that menu with you from scratch.

Don’t Forget the Follow-Through

If you’re using coffee as part of a brand activation or trade show booth, plan how the moment extends past the cup. A latte with your logo printed on top via our Ripples printer is a natural photo moment. Pair it with a clear call to action nearby, whether that’s a QR code, a hashtag, or a team member ready to talk, so the conversation started by a good cup of coffee actually goes somewhere.

The Easiest Way to Plan It Right

The truth is, most of this is easier with a quick conversation than a guessing game. Tell us your guest count, your venue, and your event type, and we’ll build a coffee plan that fits—no oversized cart crammed into a small ballroom, no line stretching out the door during a 20-minute break.
